That window matters more than it sounds. The calls that actually hurt a business rarely arrive at 10 am on a Tuesday — they arrive when a partner is finishing a filing at nine in the evening, or when someone opens the office on a Sunday to find the internet down before a Monday deadline. Every request is logged, tracked and owned rather than passed around.
Our consultants average 15+ years of hands-on IT experience. The engineer who designs your network is the one who sees it when it breaks, which removes the handover gap where most managed services quietly degrade. Where a problem needs deeper expertise it goes to those engineers, not into a queue.

A managed IT agreement is easy to skim and hard to read closely, yet that one document decides how you are treated on your worst day. Before you sign with anyone — us included — it is worth knowing what to look for in a managed IT agreement and what managed IT support actually costs in Vancouver. We published both because the questions kept coming up on sales calls, and because a client who understands the agreement is a better client to have.
We are a Vancouver business, at 969 Robson Street, and we attend on-site across Metro Vancouver. We also support clients across Canada, coast to coast — remote work made that normal, and our desk hours cover the country comfortably.
Being local still matters for the things that need a person: an office move, a failed switch, a new starter's desk, a server that needs hands on it. Remote-only works right up until it does not.
Most businesses stay with a provider they have outgrown because the move sounds painful. With a clear plan it is not: we onboard and document everything first, layer in monitoring and security second, and take over the desk third, so you always know what comes next. Why there are no client names here. We do not publish client company names, or the names of individuals, in any of our case studies. That is deliberate — out of respect for our clients’ privacy and for the security of their environments. Describing who runs which platform, and which weaknesses have recently been closed, is not information we are willing to put in public. Your organization would get exactly the same discretion.
The engagements below are real and the outcomes are as they happened. A shipping company came to us frustrated with their incumbent managed services provider on two separate fronts. They would not let that provider near their infrastructure, having concluded it lacked the knowledge and capability to work on it safely. And they had stopped using them for end-user support altogether, because tickets took two to four days to get a response and there was no dependable way to follow an issue through to resolution.
One detail explains most of the rest. In four years, that provider never once visited the site. We visited before we took the account on.
Very little about an environment of 80-plus users and 40-plus servers can be understood properly from a remote console. We spent the time understanding what they were actually dealing with, then built a phased plan rather than proposing one disruptive cutover.
First, the desk — and the ability to see it. We onboarded the users and servers, then ran a training session: not on our tooling, but on how to raise a ticket and how we work one through to resolution, so their expectations of us were concrete rather than hopeful. We also stood up co-managed portals so their on-site IT leadership could track tickets and responses themselves instead of asking us for status.
Then the documentation. We collected whatever the previous provider had and began bringing it up to date. Inherited documentation is usually part fiction, and correcting it is unglamorous work — but it is where the next three findings came from.
Then what discovery turned up — three things, none of which we had been asked to look at.
They had an EDR product but not a managed service behind it: detection with nobody on the other end of it. We replaced it with Sophos MDR Complete, which brings intervention and remediation rather than an alert nobody acts on at three in the morning.
Their firewalls were approaching end of life. Replaced with Sophos XGS firewalls in high-availability pairs, improving throughput and availability together.
Their Cisco HyperFlex platform had aged out and needed replacing, and they were worried about the rising cost of maintaining a VMware hypervisor environment. We demonstrated and then sized a Nutanix hyperconverged platform to replace it. Their own feedback since has been about how much faster the system is.
What changed for the people using it. The four-day waits are gone: technicians deal with issues within hours, and they answer the phone. End users reach a support agent directly rather than a queue, which is the part they comment on most. Their IT leadership report feeling materially more secure with the Sophos MDR team watching the environment around the clock, every day of the year.
The work is not finished, and with an engagement rather than a project it is not supposed to be. Networking infrastructure is next, along with segmentation for their industrial control network and replacing a 5G failover circuit with Starlink to strengthen their internet resilience. Every segment of the environment gets worked through in turn.
An architectural firm approached us as their contract with another provider came to an end, unhappy with the service they had been getting. The complaint was familiar — slow response to end-user requests — but the consequence was not. With nobody responding, the hands-on work had drifted onto the office manager, who was clear about the problem: she is not a technician. That is a common outcome in a small business and it is rarely anybody’s plan. It just happens, one unanswered ticket at a time.
Their other concern was a set of part-finished projects left in an unknown state. Half-done work is worse than work not started, because nobody can tell what is safe to touch.
We ran a full discovery: listening to what they told us, then verifying it against the actual state of the infrastructure rather than taking the account at face value. Clients are usually right about symptoms and not always right about causes, and the difference matters before anyone starts fixing things.
From there, our structured onboarding, a training session so their people knew how to reach us and what to expect, and Sophos MDR deployed across the organization. Work continues on untangling the part-finished projects and documenting them properly, alongside advice on which services belong in Azure and which are better left on-premises — a question worth answering deliberately rather than by default.
Tickets are now resolved the same day. Projects are documented as they are completed. And the office manager has her own job back, rather than a second one nobody asked her to take on.
